I am a Gallery Host. How do I close my Albums (so that Gallery Members may not add new photos or modify or delete their current photos)?

A Gallery Host can, if desired, close Albums


Closing Albums will restrict the activity of your Gallery's Members.


When an Album is closed, Gallery Members will not be able to Add photos or modify or delete their current photos in the closed Album.


NOTE: Closing Albums does not change who may view the photos in the Album. To change who may view the photos in the Album, you must change the Allow Public Viewing option, via Manage This Album - Album Basic Settings.


NOTE: The Gallery Host's activities are not restricted when an Album is Closed.

A Gallery's Host may continue to add photos, and to modify or delete the Host's or the Member's photos while an Album is closed.



How to close Host Only Albums:


Host Only Albums are always closed to activity by Gallery Members.

  • Only the Gallery's Host may add photos or modify or delete their own photos in Host Only Albums.
  • No action is required.
  • Host Only Albums always indicate: Submissions by Host Only.


How to close Shared Albums:


Shared Albums may be closed or open for activity by the Gallery's Members.

  • When a Shared Album is closed, the Gallery's Members will not be able to add photos or modify or delete their current photos.
  • When a Shared Album is open, the Gallery's Members may modify or delete their current photos, and the Gallery's Members (who have your permission) may also add photos.
  • A Closed Shared Album will indicate: Closed By Host

Shared Albums must be closed or opened, individually, via Album management.


When viewing your Shared Album's Home page:

  1. Select Manage This Album (via the Host Tools button or menu link)
  2. Then select Album Basic Settings
  3. Toggle your selection for the option: Enable Member Submissions: YES or NO ?
    • To Close a Shared Album: Select NO to prevent additional photo submissions. (The Shared Album will be Closed. The Shared Album will indicate: Closed by Host.)
    • To Open a Shared Album: Select YES to allow your members to submit (add) photos and to modify or delete their current photos. (The Shared Album will be Open. The Shared Album will indicate: Open for Submissions.)
  4. Then Click on the Save button.


How to close Contest Albums:


Standard Contest Albums may be closed or open for activity by the Gallery's Members.

  • When a Standard Contest Album is closed, the Gallery's Members will not be able to add photos or modify or delete their current photos.
  • When a Standard Contest Album is open, the Gallery's Members may modify or delete their current photos, and the Gallery's Members (who have your permission) may also add photos.

Champion and Grand Champion Contest Albums are never open for activity by the Gallery's Members. However, they can be closed.

  • Champion and Grand Champion Contest Albums are inactive and empty while closed.
  • Closed Contest Albums will indicate: Closed

Contest Albums must be closed or opened via the Gallery's Contest Management List.


To close a Contest Album (or several Contest Albums, at once), you will need to know the current state(s) of the Contest Album(s):

  • IF OPEN: You may change Standard Contest Album(s) from Open state to Closed state in the Contest Management List.
  • IF JUDGING, COMPLETED or RECORDED: You will need to use Reset to change to Closed.
  • You may reset Standard, Champion and/or Grand Champion Contest Albums in the Contest Management List.
  • Reset will transition the Contest Albums to the Closed state.
  • WARNING: Contest Results will not be saved and made official unless the Contest Albums are RECORDED BEFORE RESET.
  • If you Reset Contest Albums that are in Judging or Completed state, all judging progress will be lost.

How to change the state:

  1. Access your Gallery's Contest Management List (via Host Tools on the Gallery's Home page or via Host Tools on the Contest Album's Home page)
  2. Please a checkmark next to the selected Contest Album(s)
  3. Click on the Edit Selected button
  4. Click on Change State
  5. Select the desired state.
    • IF all of the selected Contest Albums are Open, you may change state to Closed.
    • IF all of the selected Contest Albums are in Judging, Completed or Recorded state, you may use RESET. Reset will transition the Contest Albums to Closed.
    • WARNING: Contest Results will not be saved and official unless the Contest Albums are RECORDED before RESET.
    • EXTRA WARNING!!! DO NOT RESET Feeder contests until all associated Champion and Grand Champion Contests in your tournament have been RECORDED. RESETTING of feeder Contests will cause the associated Champion or Grand Champion Contest to AUTO RESET also, and judging activity in those higher-level Contests may be accidentally lost. RECORD BEFORE RESET !
  6. Then click on the Continue button.
  7. If the change was successful, click the Close button
  8. If not, return to Step #2 and try selecting different Contest Albums.
